  • The Executive Assistant role at Oberon Fuels, Inc. includes standard office manager and executive assistant duties along with basic accounting and logistics management. Primary responsibilities consist of maintaining budget and expense account records, financial records, and confidential files (travel expense reports, vendor contracts/agreements, etc.). The executive assistant is responsible for the coordination of many high priority items at once, such as, in-person meetings, conference calls, and travel. In addition, this person works on assignments that are sensitive in nature with high-level contacts inside and outside the company.

    The executive assistant screens all phone calls; answers questions and directs calls to the appropriate person when applicable. This individual handles a high level of calendar management working to maintain specific schedules of individuals, conference room use, etc. Performs administrative duties for the executive/department which include:

    Develop and implement processes and procedures to enhance operational effectiveness and efficiency of the business.  Ensure these processes are well communicated to employees and consistently followed.

    • Resolve any administrative problems and keep lines of communication open to ensure high employee morale and a professional atmosphere
    • Participate in quality assessment and quality improvement within the scope of responsibilities, as appropriate
    • Design and maintain filing systems
    • Ensure that sales contracts are complete and track execution
    • Order office supplies and maintain and repair office equipment
    • Answer and direct telephone calls
    • Distribute mail and complete expense reports
    • Support President, COO and others in their projects
    • Schedule meetings and appointments
    • Coordinates and types correspondence/ presentations
    • Provide excellent customer service to internal and external customers
    • Maintain confidentiality of employee and company information
    • Represent the company in a professional and ethical manner at all times

    Coordinates events and customer visits, including arranging of conference meetings, web or video conferencing, and catering. The executive assistant works to support proposal preparation and prepare program documents and specifications (i.e. NDA’s, presentation folders, schedules, etc.) Interfaces with Senior Management, and works cross-functionally to assist other team members as needed.

    The executive assistant also has extended back office responsibilities to support the sales, accounting, and engineering functions of the company.  These include:

    • Maintaining Salesforce CMS system, including data entry, organization, and reporting
    • Basic accounting; management of invoices, payments, and payroll processing
    • Coordination and management of shipping and storage logistics, including hazardous materials and large pieces of industrial equipment
    • Organization and maintenance of data on Dropbox and Evernote

    Required Education & Experience:

    • Associate’s Degree; related certificates preferred
    • 5+ years’ directly related experience with a track record of professional growth and promotion
    • Prefer construction industry experience
    • Basic understanding of Human Resources function, e.g. benefits administration and on-boarding new employees
    • Excellent verbal (telephone and in-person), interpersonal and written communication skills
    • Strong analytical, problem-solving and decision making capabilities as well as math aptitude
    • High initiative, tenacity and sense of urgency
    • Intermediate Microsoft Office Skills and the ability and interest to learn new technology systems
    • Shipping logistics management preferred
    • Basic accounting experience desirable
    • Website content updates desirable
